Administrative Coordinator, Tools for Tolerance® for Educators

The Tools for Tolerance® for Educators program is an experiential program designed to help educators fulfill their potential both as people and professionals. It is built upon the premise that school professionals are the front line in our efforts to shape a better American future. The Museum of Tolerance seeks a full-time Administrative Coordinator for the planning, development, implementation, follow-up activities for all educational programs.

DUTIES INCLUDING BUT NOT LIMITED TO:

  • Coordinate the administrative planning, development, and delivery of all department programs
  • Monitor and track expenses against the grant budget
  • Oversee Accounts Payable including the reconciliation and processing of invoices
  • Assist in managing all vendors, including establishing relationships, negotiating prices, and ensuring quality control.
  • Coordinate the Master Calendar of programs
  • Responsible for making travel arrangements for out of town groups/participants
  • Responsible for establishing and maintaining an accurate record of all supporting documentation for the education grant
  • Responsible for generating internal grant reports
  • Responsible for maintaining an accurate and efficient filing system
  • Prepare expense reports and reimbursement requests
  • Assist in maintaining the highest level of logistical support for the smooth running of programs
  • Provide additional clerical support as needed
  • This position will temporarily report to the Director, Museums Operations and Experience.


QUALIFICATIONS:

  • Strong organizational skills with attention to detail and multiple tasks
  • Strong data entry skills
  • Ability to generate various reports from program data entered in Excel and accessed through other educational databases
  • Excellent written, verbal, and interpersonal skills is a must
  • High degree of flexibility, can adapt easily to changing environment and tasks
  • Ability to work well independently as well as provide supporting role on the team
  • Highly motivated, shows initiative, and has the ability to problem solve
  • Outstanding phone etiquette
  • Proficiency in Microsoft Word and Excel (mandatory), Outlook, PowerPoint, Access

This position will start remotely but will transition to an in-person office position mid-June/TBD. 40 hours/week, Monday-Friday
