Simon
Wiesenthal Center, a non-profit located in Los Angeles, is seeking an Executive
Assistant to support, manage and execute all administrative tasks required to
effectively support the Chief Financial Officer/Chief Administrative Officer.
The
ideal candidate will have a sincere interest in the Center’s mission; possess

ESSENTIAL
DUTIES AND RESPONSIBILITIES:
The office of the CFO/CAO oversees all day-to-day
operations, contracts, governance, construction projects, museum exhibitions
and renovations.
The executive assistant must be the “right hand” to
the CFO/CAO and must be able to provide administrative and project support, which
requires an exceptional computer skill set in order to create/edit/print
documents and renderings using MS Office and/or web-based tools, demonstrate a
sense of urgency, initiative, responsiveness and attention to detail, with tact
and absolute discretion in handling confidential information.
Responsible
for the accurate compilation of financial reporting packages and mailings to
the Board of Trustees.
Fill
out grant applications under the supervision of the CFO/CAO.
Review
contracts and communicate any changes to vendors.
Filter
incoming requests and demands on the CFO/CAO.
Arrange
conference calls, schedule and coordinate meetings and appointments, maintain
the calendar of the CFO/CAO and effectively communicate upcoming events, as
well as handle any follow up activities pertaining to the preceding.
Receive
communication sent to office, including phone calls, messages and provide
assistance using independent judgment to determine those requiring priority;
channel and facilitate communication to other departments as needed.
Compile
information requests; prepare routine correspondence, including letters,
memoranda and reports.
Responsible
for maintaining an accurate and efficient filing system.
Responsible
for arranging the CFO/CAO extensive travel and meeting schedule, including
international travel coordinated with other members of SWC staff, consultants
and vendors.
Prepare
expense reports and reimbursement requests.
He/She
must maintain the highest standards of confidentiality.
Other
job related duties and responsibilities may be assigned as appropriate.
QUALIFICATIONS:
- Must
have at least 3 years of Executive Assistant experience to either a CEO or CFO
- Advanced
computer skill set in MS Office (Excel, Word, Outlook, Power-Point), Mail
Merge, Drop Box, Adobe Acrobat;as well
as the ability to learn custom proprietary software
- Expert
proficiency in MS Office and web-based tools such as Dropbox and We-Transfer
- Excellent
oral and written communication skills
- Excellent
editing and proofreading skills
- Advanced
typing skills
- Must
be able to work in a very busy office with many demands while maintaining poise
and professionalism
- The
ability to multi-task, handle requests from multiple sources and determine
priorities as well as order of completion

Must
